Memo
Hello All
The Florida Region sanctioned tournaments have been updated in ZebraWeb. If you go to either the Games tab or the Reports tab and you look for the Composite Schedule Search dropdown, you will find our entire schedule. This shows you date, location and tournament head officials.
There are two or three dates that are not showing either the location and/or the Head official. These will be filled in shortly, please be patient.
If you are a Head Official, please verify the name, date, location, and number of officials. The number shown was determined by taking the court count from the sanction form x 1.5, OR taking the number of teams in the event and dividing that by 5.33. Halfs are rounded up and then the number of head officials is added to that to arrive at number of officials scheduled. .
Officials! Now is the time to UNBLOCk the days you want to work in ZW! We are ready to start assignments!
Thank you

Head Officials Instructions - SportWrench and ZebraWeb
The Florida Region uses the ZebraWeb (ZW) system to communicate with officials and assign region sanctioned tournaments. Officials' Coordinator (Sue Wainio) will assign officials in ZebraWeb based on requests from tournament head officials or directors. The region Officials Coordinator makes sure that there are enough officials to cover all events, assists with obtaining officials and also monitors assignments to make sure each tournament has the mix of levels that is needed for the competition (meaning that one head ref can't have all the nationals, leaving another tournament with all provisionals!)
The ZW assignment must be confirmed by the officials, and indicates the LOCATION the official will work on a given day and that the official has committed to the event. SportWrench (SW) will allow the head refs to see a list of potential officials for each event, as well as help the head official manage the rooming and the assigning processes. In other words, it takes over after ZW and tells the officials the COURTS AND MATCHES they will work. Head officials for tournaments not using SW will have a manual method of managing logistics and court assignments.
Procedure:
Referees apply in SW and unblock their dates in ZW. In a perfect world, officials would sign up for just one event. But they don't - they tend to apply for multiple events on the same day, which makes things complicated. We typically let geography be the main determining factor for who goes where, but special requests are also factored in.
Head officials can pull a list from SW at any time to see who has applied for their event. ZW can also generate an availability report.but this is dependent on the officials UNBLOCKING the days they want to work. When the head official pulls the list from SW they can then highlight the officials they want to have at their event and send it to the Officials Coordinator. After review, these people will be assigned to ZW and they can then be accepted in SW. Head officials should not accept officials in SW until they have been assigned in ZW. Most of the time there will not be any changes, but there may be times when adjustments have to be made due to tournament needs or officials needs (ie ratings or other responsibilities and requests). If a tournament is not using SW, then the head official will get a list of available officials from ZW and can use that in addition to any manual process they use to generate a list of requested officials.
As soon as the head officials and number of courts/officials are entered into ZW for the tournaments we can get the process going so that preliminary assignments can be made in November and December. When we make assignments that early we anticipate there will be changes, so we will handle those as needed. Communicate early and often!
